Catch-Up vs. Cleanup: Which One You Need

Updated 2026-10

Binders and folders of documents on an office shelf

Two words, two problems

Catch-up is reconstruction: nothing was recorded, so the books are built from the bank. Cleanup is repair: something was recorded, and it is wrong. They are quoted the same way and often done together, but they are different work, and knowing which you have tells you what to expect.

Signs you need a catch-up

  • There is no accounting file, or one that stops months ago
  • Bank statements are the only record of what happened
  • Returns were filed from estimates, or not filed
  • You know roughly what you made and could not prove it

Signs you need a cleanup

  • There is a file with numbers in it, and the numbers do not match the bank
  • The profit on the report bears no relation to what is in the account
  • There are accounts called Uncategorised, Ask my accountant or Misc with real money in them
  • Loan balances never fall; owner draws show as expenses; deposits show as income
  • Your preparer sent the books back with questions last year

Why most are both

A file that was kept for a while and then abandoned needs both: a cleanup of the months that exist and a catch-up of the months that do not. A file kept by an app with no one checking is often a cleanup disguised as current books. The review your bookkeeper writes after the first look says which months are which, and the quote is built from that.

How each is done

Catch-up

Structure built first. Then every month entered and reconciled to its statement as it is entered. Receipts requested only where they change a coding decision. A package for each year as it closes.

Cleanup

Review first, written down. Then the structure fixed: chart of accounts, bank rules, balance-sheet accounts for deposits and loans. Then every account reconciled from the last clean month forward, with duplicates removed and the history recoded. Then the proof: reconciliation reports and a balance sheet that ties.

Which is faster

Catch-up, usually, per month covered. Starting from nothing means there is nothing wrong to find, and a bank rule written once codes a year. Cleanup spends its first hours understanding what someone else did, which is slower than doing it right the first time. That is also why a file beyond repair is sometimes rebuilt from the bank: the catch-up is cheaper than the cleanup would be.

Where to go next

Common questions

Can I do the catch-up myself and hire out the cleanup?

You can, and some do. The risk is a catch-up done without the structure fixed, which becomes a second cleanup. Ask for the review first and decide from it.

Is one priced higher than the other?

Per month, cleanup is usually more, because of the review and the repair. Both are quoted after a look, as a deposit and a monthly retainer.
